We are seeking a highly organized and efficient Executive Assistant to provide administrative support to our C-level executive team and the regional team. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills. The Executive Assistant will play a key role in ensuring smooth operations within the executive office, handling a variety of tasks ranging from managing schedules to coordinating meetings and handling confidential information with discretion.
Responsibilities:
- Manage executive calendars, including scheduling meetings, appointments, and travel arrangements including expenses for C-level Executives.
- Screen and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect as necessary
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
- Attend meetings as needed, take accurate minutes, and follow up on action items.
- Conduct research and compile information as requested by the executive team.
- Prepare and review documents, correspondence, and reports, ensuring accuracy and completeness.
- Assist with special projects and initiatives as assigned by the executive team.
- Act as a liaison between the executive team and internal/external stakeholders, maintaining positive relationships and representing the executives professionally.
- Handle confidential information with discretion and maintain confidentiality at all times.
- Anticipate the needs of the executive team and proactively address issues or concerns.
- Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval of documents.
- Coordinate and provide administrative tasks for the executive team and regional team.
Requirements:
- Proven track records as an executive assistant or similar role, preferably supporting C-level executives
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with a keen attention to detail.
- Ability to maintain professionalism and confidentiality at all times.
- Flexibility and adaptability to handle changing priorities and work effectively in a fast-paced environment.
- Strong problem-solving skills and the ability to anticipate needs and proactively address issues.
- Exceptional interpersonal skills, with the ability to interact effectively with individuals at all levels.
