Position Overview:
The Events Coordinator & Sales & Team Coordinator Responsible is a key member of our team, responsible for overseeing the planning, execution, and success of various events while also driving sales efforts. This role requires strong organizational skills, attention to detail, and a proactive approach to sales and customer relations. This role also ensure managing our team's schedule and handling interpersonal relations.
Key Responsibilities:
1. Event Planning and Execution:
- Coordinate all aspects of events, including venue selection, vendor management, scheduling, and logistics.
- Develop detailed event plans, timelines, and budgets to ensure smooth execution.
- Oversee setup, operation, and breakdown of events, ensuring all elements align with the event vision and goals.
- Provide on-site coordination and support during events to address any issues and ensure guest satisfaction.
2. Sales and Business Development:
- Develop and implement sales strategies to drive revenue growth and achieve sales targets.
- Identify potential clients, sponsors, and partners for events, and cultivate relationships to secure their participation.
- Conduct sales presentations, pitches, and negotiations to win new business and expand existing partnerships.
- Collaborate with marketing team to develop promotional materials and campaigns to support sales efforts.
3. Client Management:
- Serve as the primary point of contact for clients and stakeholders, ensuring clear communication and understanding of their needs.
- Consult with clients to understand their event objectives and preferences, and tailor event plans accordingly.
- Provide regular updates and reports to clients on event progress, budget status, and post-event evaluations.
4. Team Leadership and Collaboration:
- Lead and motivate event staff and volunteers, delegating tasks and providing guidance to ensure successful event execution.
- Foster a collaborative team environment, promoting open communication and sharing of ideas.
- Work closely with cross-functional teams, including marketing, operations, and finance, to coordinate efforts and achieve common goals.
5. Administrative Duties:
- Maintain accurate records of event details, expenses, and revenue, and prepare post-event reports for analysis.
- Manage contracts, agreements, and vendor relationships, ensuring compliance with terms and regulations.
- Handle administrative tasks such as scheduling meetings, coordinating travel arrangements, and managing correspondence.
Requirements:
- Bachelor’s degree in Hospitality Management, Marketing, Business Administration, or related field.
- Proven experience in event planning, sales, or related roles, with a track record of successful event execution and achieving sales targets.
- Excellent communication, negotiation, and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously.
- Proficiency in MS Office Suite and event management software.
- Flexibility to work evenings, weekends, and travel as needed for events.
- Creative thinking and problem-solving abilities to overcome challenges and enhance the event experience.
- Leadership skills to inspire and motivate team members, fostering a collaborative and productive work environment.
