Qualifications & Experience
Conversational English and Chinese speaking and written skills
Strong written and verbal communication skills
Proven experience as an administrative assistant or relevant role
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and Google Drive (Google Sheets, Google Docs, Google Slides, etc.)
Excellent time management and organizational skills
Attention to detail and problem-solving skills
Ability to multi-task and prioritize tasks effectively
High secondary school or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus
Job Duties & Responsibilities
General and daily data entry works assigned by Managers and/or Directors
Assist to organise and schedule meetings with all relevant personnel
Prepare all relevant paperwork/documents required and attend meetings with Managers and/or Directors
Plan meetings and take detailed meeting minutes for all meetings
Prepare and distribute corresponding memos to relevant team members
Attend to all incoming calls /messages from subcontractors promptly
Attend to and follow through all inquiries via email and/or any messaging platforms applicable
Update and maintain office policies and procedures
Ensure smooth day-to-day operation of the office
Provide day to day administrative / backend support to all personnel (eg. Directors, Interior Designers, Managers, etc.)
Show initiative in providing ideas and solutions to improve workplace processes; as well as assist in any ad-hoc task that may be assigned
