Main Job Tasks & Responsibilities:
Tender Development
- To register all tender invitations and seek approval from directors to accept invitation to tender
- Attend show round (if any)
- Assign QS to take off all quantities required and/or undertake to carry out the taking off process
- Collate and check that all necessary pricing require for the tender are in order and complete
- Discuss final tender pricing with superior 2 days before the closing date
- Oversee and ensure that all tenders are submitted on time
- Updates the tender summary chart
Contract
- Assign QS to the job upon receipt of awarded contract and/or undertake to take charge of a specific project.
- Monitor and ensure the following are in order:-
- Project insurance (arranged by Admin Exec. )
- Establish project deadlines (discussed with QS/PM/FM/SS )
- Establish sub-contractors/suppliers list (discuss with PM/SS/QS)
- Monitor and ensure all necessary critical procurement are in place and on time in order to meet project deadline
- Establish and control project budget with team members
- Control and ensure the team worked on the approved project budget
- To manage, check and ensure progressive claims are in order and submitted on time
- To ensure and check all VOs are duly raised and acknowledged by client before any work commencement may proceed
- To handle, monitor and govern all contract administration and management
Completion
- To monitor, check and ensure Final Account is in order and submitted on time (2 weeks after handover )
- To monitor, check and ensure final invoices are duly raised and submitted
- To follow up on consultant payment certification/practical completion certification, etc.
- To follow up on collection
- Monitor, manage and check that proper project closure are documented
- Monitor, check and ensure sub-contractors/vendors' bills are in order
- To actively participate in ad hoc projects and other administrative duties
- Do awarding of contracts and preparation of contracts related documents
- Submit weekly updates on projects budget, costing and claim status
- Attend weekly and fortnightly projects/accounting meetings
Requirements:
1) Diploma/Degree in Quantity Survey
2) Min 2 years of relevant experience
3) Able to work independtly with tender departments
4) Assisting tender department with preparing tender documents, contracts, budgets and other documentation
