Responsibilities
- Handle all communications related to shared spaces and facilities on behalf of the Town Council.
- Keep organized and up-to-date records, including correspondence, documents, blueprints, and materials relevant to Town Council activities.
- Oversee the database of property owners' and renters' contact details.
- Consult and organize the procurement of necessary insurance policies like fire, public liability, workers' compensation, comprehensive coverage, and others as required by the Town Council.
- Promptly notify the Town Council about any legal notices or communications from government bodies or individuals, providing copies when needed.
- Supervise and approve the usage of communal areas, including recreational amenities, representing the Town Council's interests.
- Issue warnings to residents or users of the Town to address or correct violations of the Town Council's regulations.
- Facilitate requests with government agencies, local authorities, or other relevant bodies as needed.
- Support the Property Manager and Officers in managing and tracking maintenance routines, improvements, waste collection schedules, resource allocation, and incident reports on a daily, weekly, and monthly basis
- Process and review permits, exemptions, and appeals requests.
Working hours : Mon to Fri 8.30am to 5.30pm, Alternate Sat 8.30am to 12pm (5.25 days work week)
Requirements:
· Min GCE O Level in any field with 1 year of administrative support experience
· Has an eye for detail and possess a dynamic, committed attitude with strong sense of initiative.
· Preferably 6 months of call centre experience ( to assist call center side when required)
· Knowledge of Microsoft Office.
