Responsibilities:
- Participates in the Offer and Contract Reviews regarding the risks analysis associated to the project and to the purchasing terms and conditions.
- Checks the integrity of customer and order data (VAT identification number, VAT exemption for export, credit limit,…).
- Ensures compliance of orders to trade regulations particularly in terms of sanctions.
- Checks the incorporation of the sales order in the IT systems or key it in if necessary.
- Manages the customer data (creations, modifications).
- Manages the order modification requests (revision, cancellation, return of goods) Communicates the shipping instructions from customer to factory/supplier.
- Places back-to-back order as per Sales order demand
- Update ERP when delivery dates change from Suppliers
- Follow up order status up to Goods readiness / Invoice receiption stage
- Recording of Goods receiption and Purchase invoice in ERP system
- Interact with Sales and/or Customer to ensure customer requirements and delivery dates are met
- Flexibility to fulfill multiple administrative roles in order to meet customer expectations
Requirements:
- Minimum Diploma in any discipline
- A team player with strong sense of commitment and urgency to meet reporting deadlines
- Able to handle high volume of work in a fast-paced environment
- Ability to identify areas for improvement on work processes
- Possess good interpersonal and communication skills
- Proficient in MS Office applications, especially Excel and Word
