Job Description
Calendar Management
· Manage the director’s schedule by scheduling and coordinating appointments including booking of venues.
· Coordinating and scheduling appointments.
· Plan travel arrangements including flights, accommodation & ground transportation.
Office Management
· Overseeing administrative functions such as receiving of guests, mail distribution and office upkeep.
· Manage office supplies and equipment, including ordering and maintaining inventory.
· Manage office’s pantry.
· Assist with incoming calls to the office.
· Identify opportunities for process improvement and implementing best practices for office procedures and policies.
Social Media Management
· Create contents for posting on the company’s Instagram, Facebook, LinkedIn.
· Oversee SEO Team’s performance.
· Coordinate website changes with relevant team members.
Sales Management
· Receive sales enquiries and channel to respective departments.
· Assist sales coordinator with daily operations.
· Liaise with different stakeholders in preparation of any sales deck.
Information Management
· Upkeeping of files both physical and digital.
· Consolidation of all products and services offered by the company.
· Ensure product documentations are updated.
HR Support
· Assisting in recruitment and company activities.
· Coordinating day-day medical leaves with HR admin.
· Coordinate and organise company events.
Special Projects
· Handle ad hoc tasks assigned by the executive management.
Job Requirement
· Minimum 1 year of working experience
· Proficient in Microsoft 365, Instagram, Facebook and LinkedIn
· Basic understanding in ChatGPT or similar
· Resourceful with good interpersonal skills
· Experience in hospitality industry would be an advantage
· Proficient in written and spoken English and Mandarin
· Able to handle confidential information with high levels of integrity
· Able to travel when required
