Associate Executive, Singapore Eye Bank (3-year contract)

The Associate Executive will perform administrative duties to support a three-year project entitled “Developing an Eye Bank E-learning course for training within EYE ACP” which is fully funded by the Duke-NUS Academic Medicine Philanthropic Fund. The Associate Executive will be responsible for coordinating courseware development activities as well as providing administrative support to participants when the course is rolled out. In addition, the Associate Executive is expected to perform basic book-keeping, purchasing and disbursement duties. The Associate Executive will assist in marketing and promotional activities and help prepare regular updates, reports and presentations to senior management and grant administrators.


Job Responsibilities:

Coordinate courseware activities:

  • Ensure meetings are conducted in a timely manner with minimal disruption
  • Maintain records of minutes for easy retrieval when required
  • Ensure courseware development activities are conducted in a timely manner with minimal/no disruption
  • Sends reminders to project directors and stakeholders to adhere to project timetable

Purchasing, disbursement and Book-Keeping activities:

  • Ensure that the purchasing and disbursement process are conducted in a timely manner and in accordance with institutional standards
  • Ensure that records and receipts of all financial transactions are maintained for audit and reporting purposes

Provide administrative support for course participants:

  • Ensure that participants receive their LMS accounts in a timely manner and provide assistance/referral to technical support staff if issues arises
  • Ensure that training activities proceed as scheduled with minimal/no disruption
  • Ensure that relevant records and forms are maintained for ease of retrieval and analysis

Coordinate marketing and promotional activities:

  • Ensure that both physical and virtual marketing/promotional activities are rolled out in a timely manner
  • Able to provide feedback to project directors on the response from the intended audience and make suggestions as required
  • Materials are prepared in a cost-effective and timely manner

Preparation of reports, presentations, and other miscellaneous administrative duties

  • Ensures that accurate reports and presentations

Job requirements:

  • Degree holder with administrative experience
  • Enjoys organising activities and meeting people
  • Computer literate (Microsoft Excel, PowerPoint, Teams)
  • Meticulous and ability to think out of the box
  • Ability to work collaboratively
  • A bonus if there is experience in project organisation
