We are seeking a talented individual to oversee daily warehouse operations and lead the team. Ideally, the candidate will possess strong attention to detail, problem-solving skills, and data analytics proficiency, coupled with a collaborative and positive attitude. You will also demonstrate the ability to foster an inclusive and trusting work environment while driving operational excellence. Your responsibilities will include managing fulfilment, inventory control, and supporting retail operations to optimise efficiency across our brand's stores.
This role will report to the CEO/ Founder.
Based at our office/warehouse in a comfortable, air-conditioned environment, heavy lifting will be minimal.
Objectives of this Role:
- Warehouse Operations / Day-to-day function: Maintain constant communication with management, team, and vendors to ensure the proper running of the warehouse, inventory management, fulfilment of orders, shipping and management of incoming and outgoing goods. Ensure operational activities remain on time and within a defined budget
- Quality and Standards:Assist Management to develop, implement, and maintain quality assurance protocols by setting up the QC SOP and QC department for the company to ensure the company is hitting its quality expectations and standards
- People Management:Manage and maintain a highly motivated warehouse team and ensure that everyone on your team is cultivated, coached, growing and contributing to their full potential
- Financial / Costs Management:Working with the Finance and Management team to ensure that the company is optimising and cost-effective by analysis and creating reports
Scope of Work :
People/Team management:
- Lead, motivate, and support a warehouse team within a time-sensitive and ever changing retail environment, including setup and implementation of training, assigning tasks and goal setting/KPI setting, scheduling regular catch-ups and 1-on-1s, coaching, counselling, and discipline when necessary
- Work close with HR to interview, recruit and hire new team members to join the company in the warehouse / QC department
- Maintain safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations and running a safe, injury/accident free workplace
Operational / QC:
- Working with management to maintain and improve warehouse operational systems by determining picking, packing, product handling and storage requirements; develop, implement, enforce, and evaluate existing policies and procedures for receiving product, equipment utilisation, inventory management, and shipping. Assisting to create new policies and procedures if necessary
- Utilising the inventory management system to improve efficiency and transparency of incoming and outgoing stock movements
- Working with management to analyse and improve organisational process and workflow, employee and equipment layout; implement changes if necessary
- Working with the Marketing and Merchandising team to ensure the successful implementation and operation of special events at the warehouse, office or at external venues (e.g. Sample Sales/Warehouse Sale/Pop Up Flea Market Events (if any))
- Working with management to oversee efficient space management at the warehouse/office ensuring it is cost efficient for the company
- Working with management to run all aspects of vehicle and equipment rentals (if any)
- Maintain and manage positive relationships with key operations vendors
- Serve as the primary point of contact when there are customer or employee issues related to equipment quality, customer service, or accidents and mishaps at all our office or warehouse
- Supports back-office and company-wide training programs, reinforcing tech and operations infrastructure between departments to ensure consistency and quality standards are met (such as pick packing, using the inventory management system, how things are done)
- Communicate all operating policies and/or issues at department meetings
Financial / Reporting and Analysis:
- Manage timely data collection to update warehouse operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors
- Conduct budget reviews and report cost plans to upper management
- Manage, meet or exceed operations labour budget expectations by managing staff levels, wages, hours, contract labour to revenues and forecast
- Track vendor and shipping partner’s pricing, rebates, and service levels and feedback to management
- Review and approve all operational invoices and ensure they are submitted for payment
- Work closely with the Merchandising team to perform analysis of our inventory and ensure we are utilising our inventory effectively, purchasing the right equipment, maintaining solid inventory data, and reduce sub-rental expenses
Requirements:
- Preferably Diploma or bachelor’s degree in operations management, business administration, logistics management/supply chain or related field
- Minimum 3 years of proven experience in a relevant field
- Experience in managing a team a plus
- Experience in e-commerce a plus
- Experience of using e-commerce platform 'Shopify' a plus
- Experience in retail a plus
- Excellent ability to delegate responsibilities while maintaining organisational control of branch operations and customer service
- Working knowledge of inventory management software programs and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong IT skills, including database development
- Take initiative, showing resourcefulness and a sense of urgency to meet deadlines
- Show meticulous attention to detail and follow-through on projects
- Able to work independently as well as collaboratively
