Job Description:
Administrative responsibilities
• Assist and be a reliable support for the Administration Manager in all matters
• Coordinate travel arrangements (booking of flights, hotels, transfers, visas etc) for the assigned staff/director(s)
• Manage calendars for assigned staff/director(s)
• Assist in expense preparation, submission and tracking for the assigned staff/director(s)
• Check, record and obtain approvals for invoice payments
• Coordinate and provide support with meetings, TGI events and conferences
Front desk responsibilities
• Attend and receive guests at the reception on the assigned floor in a professional manner
• Manage and coordinate meeting room calendars.
• Assist with meeting room bookings and arrange refreshments where necessary
• Handle incoming and outgoing mails, postage, parcels, couriers
• Distribution of newspapers and magazines
• Assist in pantry, office, stationery supplies orders and name cards requisitions when required
• Floor facilities coordinator
Job Requirements: Min GCE O Level / Diploma in Secretarial or similar w min 3 yrs of relevant experience
