Job Responsibilities:
Administration
• Handle meetings and conference planning and logistics
• Assist the Engagement Committee in event planning and logistics
• Manage office contact list and seating arrangement
• Responsible for stationeries inventory, supplies and request
• Oversee timely issuance and termination of office access cards
• Liaise with building management on office maintenance matters
• Assist and support in office wear and tear maintenance
• Maintain administration filing system / shared folders
• Back up for Senior Assistant and Office Manager
• Any other ad-hoc duties as assigned
Pantry
• Oversee pantry inventory and supplies
• Oversee the upkeep and tardiness of the pantry
• Assist with the replenishment of stock for employee's consumption
Travel Management
• Assist with flight & ferry booking
• Assist with Singapore hotel reservations and inquiries
• Oversee BatamFast Card issuance and terminations
• Support business travel VISA matters
Senior Management Support
• Handle Senior Management's travel schedule and arrangement
• Handle Senior Management's local/business claim administration
Calendar Management
• Support in managing Senior Management's calendar
Ad-hoc Duties
Any other ad-hoc duties as assigned
Job Requirements:
• Minimum Diploma with 5 years relevant experience
• Proficient with Microsoft Applications
• Meticulous, ability to prioritize and posses good organizational skills
• Keen on details and able to work independently
• Able to be multi-tasked and work under tight datelines
• Team player with positive work attitude
• Strong interpersonal and communication skills
• Service-oriented mindset
• Flexible and willing to learn attitude
