- Provide administrative and project management support which will include the smooth running of the day-to-day operations for the office, facilities management, equipment, assets and meeting rooms management
- Keep record of office sundries and expenses in Singapore offices
- Handle and distribute incoming and outgoing mails and courier arrangements
- Coordinate the repair and maintenance of office units and office equipment in Singapore offices
- Manage end-to-end process of overseas business trips, including complete visa documents, letters, travel insurance, accommodation and any other travel related matters in a timely manner
- Oversees office space, equipment, suppliers, furniture maintenance by utilising of resources
- Manage office cleaners, vendors, including office cleaning, pest control management, facilities management in Singapore offices
- Manage, requisite and maintain office supplies and consumables including stationery, season parking, pantry supplies and consumables in Singapore offices
- Coordinate the monthly phone bills at all office sites in Singapore and arrange for payment
- Recommendation, manage and liaise with suppliers and vendors on service agreement
- Manage office equipment and their contracts, leases, service agreements and ensure proper documentation and records
- Maintain updates and records of certificates, insurance, licences and permit documentation, including data management and filing
- Coordinate and arrange printing of name cards
- Manage the servicing, maintenance and renewal of motor vehicles
- Maintain office telephone directory
- Arrange and maintain records of corporate and festive gifts
- Assist in organising company events
- Support on HR matters
- Assist in the processing of Singapore payroll matters and to ensure accuracy and compliance with regulations
