Responsibilities:
- Preparation of invoices and packing lists (INV & PL), export documents such as Test Reports, Non-DG Declaration Letter, etc.
- Handling import operations from our headquarters in Japan:Checking Arrival Notices, B/L (Bill of Lading), INV & P/L, customs amounts (GST), and transferring documents to the warehouse.
Data entry into the internal system including lot numbers upon arrival and storage of goods via sea freight.
- Handling export operations to various clients in countries including SG, Malaysia, Thailand, the Philippines, Indonesia, China, and parts of the EU:Receiving purchase orders (PO), coordinating and negotiating shipment schedules, forecasting, and inventory management.
- After Sales Services (handling claims for damaged goods, additional import customs documentation, etc.).
- Arrangement of transportation services:Preparation of INV & PL.
Confirming schedules with forwarders (flight/sea freight), booking, and follow-up (sending AWB, BL, etc.).
Arranging urgent shipments (DHL/UPS) including booking on websites and creating courier waybills.
- Preparation of related export documents (SDS, Non-DG Declaration Letter).
- Warehouse management: FIFO management of inventory lots according to shipment quantities.
- Understanding export-import regulations: Keeping abreast of export-import regulations to various countries (import duties, declaration/customs documents, etc.).
Requirements:
- Proficiency in Japanese language at least equivalent to JLPT N2 level to communicate with counterparts in Japan.
- Minimum 1 year of experience in trade operations (familiarity with Incoterms, knowledge of Sea/Air freight forwarders, ability to handle FCL, LCL shipments).
- Proficiency in Microsoft Word, Excel (able to perform basic tasks).
