Job Summary
Recruitment Process:
- Assist in the recruitment process by posting job openings, screening resumes, and scheduling interviews.
- Coordinate interview logistics, including arranging interview rooms and communicating with candidates.
- Participate in interviews as needed and provide feedback to hiring managers.
- Conduct reference checks and background verification for selected candidates.
- Support the preparation of employment contracts and onboarding documentation for new hires.
Onboarding:
- Coordinate the onboarding process for new hires, including conducting orientation sessions and facilitating introductions to team members.
- Ensure all necessary paperwork and documentation are completed accurately and in a timely manner.
- Provide support and guidance to new employees to help them acclimate to their roles and the company culture.
Offboarding and Exit Clearance:
- Manage the offboarding process for departing employees, including conducting exit interviews and collecting company assets.
- Coordinate with relevant departments to ensure a smooth transition for departing employees.
- Conduct exit clearance procedures, including retrieving company property and facilitating the return of access badges, laptops, and other equipment.
Payroll Processing:
- Assist in processing monthly payroll accurately and in a timely manner.
- Verify attendance records, overtime, and leave applications to ensure accurate payroll calculations.
- Coordinate with relevant departments to resolve any discrepancies in payroll data.
- Prepare payroll reports and maintain payroll records.
Work Pass Application:
- Assist in the preparation and submission of work pass applications for employees.
- Ensure compliance with government regulations and documentation requirements.
- Liaise with relevant government agencies and external vendors for work pass matters.
- Track the status of work pass applications and provide updates to stakeholders.
HR Administration:
- Support HR administrative tasks such as maintaining employee records, updating HR databases, and preparing HR-related documents.
- Assist in onboarding and offboarding processes for employees.
- Respond to employee queries regarding HR policies, benefits, and procedures.
- Maintain confidentiality and handle sensitive HR information with discretion.
Compliance and Policy Adherence:
- Stay updated with relevant employment laws, regulations, and best practices.
- Ensure compliance with company policies and procedures in all HR processes.
- Assist in conducting audits to ensure data accuracy and compliance with HR policies.
Employee Relations:
- Foster positive employee relations by addressing employee concerns and providing support as needed.
- Assist in organizing employee engagement activities and initiatives.
- Contribute to maintaining a positive and inclusive work environment.
Qualifications:
- Diploma/ Bachelor’s degree in Human Resources, Business Administration, or related field.
- Minimum 2 years of experience in human resources roles, preferably as an HR Generalist including payroll and work pass application.
- Knowledge of HR best practices, employment laws, and regulations.
- Strong communication, interpersonal, and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
