Project Specialist (Event)

Fixed term contract

As a Project Specialist supporting the client’s Marketing teams of one of the largest tech companies, your work will include driving event production excellence through the management of venues, technical production, experiential programs, registration, translation services and event logistics.

The ideal candidate is resourceful and enjoys working in a fast-paced environment with multiple deadlines. He/she is innately curious and wants to make a difference with his/her work. This role supports our client's marketing activities, including market research, developing proposals for marketing campaigns and events planning.

Role: 

  • Develop and manage comprehensive event plans, budgets, and timelines, ensuring alignment with brand guidelines, objectives, and cross-functional teams.
  • Project manage the coordination of guest management and registration experiences for local event activations across multiple APAC markets. This entails supervising the creation of landing pages, registration forms, and email communications.
  • Understand and articulate the requirements of local APAC market teams to steer the development of APAC templates for landing pages, registration forms, and communications. Ensure timely communication of changes and needs to the Global team.
  • Maintain close collaboration and diligent follow-up with local APAC market teams and production agencies to establish and adhere to project timelines and milestones. Regularly review key dates to keep the team on track. Liaise with local Product Marketing Managers (PMMs) to collect necessary inputs by specified deadlines and guide local teams on asset usage.
  • Ensure the proper configuration of events in event tools, including One Market Calendar, Connect Nominations, RSVP or DefJam, Gather (if digital), and other preferred global platforms (e.g., Swoogo, Kintaro). Guarantee seamless data flow between systems for accurate reporting.
  • Collaborate with local APAC market teams and relevant event agencies to conduct comprehensive quality assurance and testing on landing pages, registration forms, and email communications. Verify that inputs from local teams are accurately reflected on the live site.

You:

  • 4+  years of project & event management experience, including multi-stakeholder management across multiple markets 
  • You thrive in a fast-paced, collaborative environment, embracing cross-functional teamwork with local and regional marketing teams.
  • Experience managing third-party agencies and sponsors 
  • Experience leading and managing c-suite events & experiences / high-profile events in the marketing/tech sector or brand experience space
  • Detail-oriented mindset and process-driven
  • Strong project management, ability to work on multiple facets of a project simultaneously in a fast-paced and dynamic environment
  • Good analytical, communication (written and verbal), and presentation skills 
  • Demonstrated ability to be a self-starter, independent thinker and deal-maker 
  • Exceptional verbal and written English communication and presentation skills and - ideally - fluent in another Asian language to cover projects across APAC.
