Job Description
The Executive Assistant will function as the Personal Assistant (PA) to Director and form part of the Director’s Office, focusing in putting day-to-day business and personal aspects in priority, and being the image for the department. He/ she is someone meticulous and organised, ever ready to take on initiatives.
Duties & Responsibilities
- Oversee various projects assigned by the Director across diverse business lines, community initiatives, and personal interests, managing interconnected activities and relationships.
- Collaborate closely with Heads of Departments (HODs) for various projects.
- Balance the interests of the company's stakeholders, including shareholders, management, customers, suppliers, financiers, government, and the community.
- Manage Director’s calendar, travel, meetings, and schedules, facilitating appointments, securing necessary equipment and facilities.
- Coordinate and prepare materials for local, regional, and international meetings/ presentations, conduct meetings, and maintain accurate records of materials and meeting minutes.
- Perform additional duties as delegated by the Director, including coordinating the operations of the Director’s office.
- Handle ad-hoc duties as assigned by the Management.
Requirements
- Diploma or Bachelor’s Degree in Business or equivalent
- For communication with our Malaysia clients, proficiency in Malay is a must.
- High Proficiency in MS Office Suite
- Experience in corporate governance
- Discretion and confidentiality in scope of work
- Excellent written, verbal communication skills, with strong attention to detail and organization
- Willing to take initiative to learn and take ownership in work
- Must be willing to travel to other locations to coordinate meetings
- Outspoken with strong interpersonal skills and sense of responsibility
