HR Executive (Payroll)

Job Purpose:

Responsible for day to day running of the HR functions. Maintain confidentiality of all staff information. Ensure all confidential documents are kept in locked drawers.


Job Responsibilities:

Payroll Processing

  • Work with HR vendor to prepares monthly staff salary, part-timers’ salary, annual AWS and bonus in accordance to Payroll SOP. Payroll report to be ready according to timeline for checking. Ensure timely and accuracy in Payroll Processing.
  • Deduct staff monthly F&B bills through pay and prepare report.
  • Prepare final monthly payroll summary for both full-time and part-time and reconcile payroll figures before starting new month payroll.
  • All supporting documents of unpaid leave, unpaid MC, reservist payment, festive advance must be filed with payroll summary.
  • Submit salary payment to Bank monthly within the deadline
  • Prepare salary payment for new and resigned staff. Prepare income tax clearance for foreign staff upon receipt of resignation letter. Immediately Broadcast to HR team of staff resignation for their necessary action. Withhold foreign staff salary as per appointment letter.
  • Issue acceptance of resignation letter. Ensure that staff return all items listed in Entry/Exit Form before release of final salary payment. Update exit interviews data in Exit Summary Listing.
  • Ensure pay-slips for salary and bonus is available on pay day.
  • Prepare monthly CPF and Foreign Worker Levy contribution before the CPF deadline.
  • Prepare monthly salary report and chart for HR Manager.
  • File all salary reports, pay-slips and CPF contribution.
  • Prepare monthly staff turnover report and headcount summary.
  • Maintain and update current employee records in HR information e-system and personal files. Send Personal Particulars Form to staff to be updated yearly.
  • Files all correspondence pertaining to staff to their personal folders.
  • Prepare annual IR8A forms for income tax submission.
  • Compute annual increment and bonuses for all staff. Prepare letters of increment and promotion. Update promotion listing on notice board and email broadcast.
  • Participate in Compensation and Benefits Surveys.
  • Identify and recommend improvements to payroll related work processes
  • Maintain strict confidentiality of all associate payroll records.

Staff Benefits

  • Prepare Staff Recognition Award (Long Service) and follow up with rewards and recognition letters. Update details of Work Improvements. Monitor and follow up on awards and recognition.
  • Ensure medical leave, sick leave and maternity leave, etc in the e-leave system in accordance to Leave SOP. Ensure access of staff to e-leave application. Email annual leave summary to HODs/Supervisors to remind of leave clearance on a quarterly basis.
  • Ensure proper maintenance of staff medical claims within the cap limit.
  • Update list on staff Birthday and issue vouchers within the staff birthday month.
  • Assist in organizing staff outings, recreation activities and Staff Dinner & Dance.
  • Order of staff get-well bouquets, wreath, beverages and biscuits when required.
  • Regularly check that the staff rest area and staff lounge are in good condition.
  • Ensure regular updated records and regular stock-take of uniform inventory. Order to replenish staff uniform. Verify existing balance, wear and tear before ordering of new uniform
  • Co-ordinate staff yearly ang bao payments and Lo Hei celebration.
  • Others
  • Assist in Club’s projects and functions
  • Assist in the development / implementation of HR Procedures and/or Policies
  • Any other duties/projects as assigned by Supervisor and/or Management.

Requirements: -

  • Diploma / Bachelor Degree in Human Resource Management or equivalent
  • 3-5 years of relevant experience in the same capacity of work
  • Able to work independently and in a team environment
  • Self-motivated and have strong initiative
  • Thrives in a high stress environment, ability to work in a fast-paced environment and multitask
  • Good interpersonal skills and able to interact with all levels, internally and externally, in a professional and responsive manner
  • Meticulous and strong attention to details
  • Have a welcoming mindset towards changes in plans
  • Creative problem-solver
  • Proficiency in Microsoft Excel, MS Word and MS Power-point
  • Good working knowledge of the Employment Act
