RESPONSIBILITIES

  • Policy development and liaison
    • Work collaboratively with the Faculty Matters team (Office of the Provost) and with colleagues in schools and central service offices to develop and update faculty policies, guidelines, and resource materials.
    • Act as a primary liaison within the Office of the Provost for faculty-related matters, providing reliable support and guidance.
  • Committee Secretariat, Management Reporting and Communications
    • Serve as a coordinator for the Promotion, Tenure, and Appointments Committee (PTAC), which involves tracking PTAC membership, supporting appointments and renewals, ensuring accuracy and completeness of faculty dossiers, and providing support in preparing meeting minutes and reports.
    • Serve as the secretariat of taskforces/committees assigned, driving effective implementation of faculty-focused initiatives.
    • Lead secretariat supporting search committees in strategic faculty recruitment efforts.
    • Coordinate and collate university-wide data and statistics and prepare regular reports for submission to the Ministry of Education, the Academic Affairs Committee and to other internal and external stakeholders as required.
  • Faculty development and operations
    • Collaborate with HR and external trainers to coordinate faculty development initiatives and academic leadership workshops.
    • Contribute to the development and enhancement of faculty systems and processes to ensure smooth operations e.g., faculty activity reporting processes and systems, faculty CV module, teaching load management system, etc.
  • Team management
    • Co-manage the work allocation and performance appraisal of the Senior Assistant Manager, Faculty Matters, fostering a productive and collaborative team environment.
QUALIFICATIONS
  • Bachelor's degree in a relevant field; advanced degree preferred.
  • Previous experience in academic administration or faculty support roles.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and experience with database management systems.
  • Ability to work effectively in a collaborative team environment.
  • Strong analytical skills, including proficiency in basic data analysis.
  • Demonstrated ability to meet short deadlines and execute against competing or changing priorities as well as concurrent projects.
