Job Description:

Procurement Coordination:

  • Assist in procurement activities, including vendor management, purchase requisitions, and inventory management.
  • Coordinate with suppliers and internal stakeholders to ensure timely delivery of goods and services.
  • Maintain procurement records and assist in the preparation of procurement reports.

Financial Administration:

  • Assist in basic financial tasks, such as processing invoices, expense claims, and purchase orders.
  • Support the finance team with administrative tasks as required.

Human Resources Support:

  • Assist in the recruitment process, including scheduling interviews, maintaining candidate records (such as leave and attendance),
  • Coordinating onboarding or offboarding activities for staff/temp/intern.

General Administrative Support:

  • Provide general administrative support to the office, including managing office supplies, coordinating meetings, support office events such as team building activities, townhall events.
  • Collaborate with various departments to ensure seamless office operations.

Working Arrangement:

Salary Range: $2600 - $3400

Working Hours: Mondays to Fridays (Office Hours)

Location: City Hall


Working Requirements:

  • Proven experience in office administration, preferably in a role involving HR, finance, or procurement support.
  • Strong organizational and multitasking abilities, with a keen eye for detail.
  • Proficiency in MS Office suite and familiarity with financial software (Xerox and Approval Max) is advantageous.
  • Excellent communication and interpersonal skills, with the ability to interact with employees at all levels.
  • A proactive and adaptable approach to work, with the ability to prioritize tasks effectively.
  • Fresh Poly or University graduates are welcome.
