Responsibilities:
- Performing purchasing of ships spares and stores, consumable items, crew’s gear, safety related equipment and other items in coordination with the Superintendents.
- Responsible for sourcing, evaluating, negotiating and purchasing of ship spare parts, stores, equipment with local and global approved suppliers to meet the scheduled shipment.
- Evaluate suppliers based on price, quality, delivery speed and accuracy of purchased good;
- Issuance of Purchase Order upon confirmation by department Superintendent in charge;
- Interview vendors and visit suppliers' plants and distribution centers to examine and learn about products, services, and prices and HSSE culture. Constant sourcing for new vendors.
- Analyze price proposals, financial reports, and other information to determine reasonable prices;
- Negotiate suppliers /vendor /contractor terms and condition on behalf of the organization;
- Meet with staff and vendors to discuss defective or unacceptable goods or services and determine corrective action;
- Evaluate and monitor contracts to be sure that vendors and supplies comply with the terms and conditions of the contract and to determine need for changes;
- Maintain and review records of items bought, costs, deliveries, product performance, and inventories;
- Ensure that cost is within the budget set by the organization;
- Coordinate with supplier for delivery schedule to be met;
- Coordinate with logistic company for the delivery of goods onboard vessel / office;
- Follow up with vessel once goods are delivered to ensure quantity and quality of goods;
- Updating of approved supplier/vendor list every month in the server;
- Ensure that all requisition sent in by the vessel to be signed off by Superintendent in charge;
- Liaise with various department for any equipment that are due for servicing and arrange accordingly to meet vessel schedule;
- Liaise with the necessary agent for the delivery of store and coordinate with logistic company accordingly;
- Preparation of organization Standard operating Procedure as required;
- Ad-hoc duties as necessary required by Supervisor.
Requirement:
- Min Diploma in Procurement / Marine / Engineering or equivalent certifications
- Preferred 2 years relevant working experience in a similar capacity preferably in Marine/Bunkering industry
- Excellent communications and negotiation skills
- Proficient in MS Office
- Hands-on experience with purchasing software
- Able to work well under stress in a fast paced environment
