Job Responsibilities:
- Administers the management of the premises access card system and CCTV, including issuance of access cards and assigning of access; attends to premises alarms during out-of-office hours; assists in fire drills, follows fire safety precaution measures and workplace safety guidelines.
- Takes care of the general maintenance and upkeep of the office premises (monthly cleaning, aircon servicing and carpet shampooing), liaising with building management and vendors. Keeps record of all maintenance and repairs work. Attending to maintenance works within and after business hours.
- Updates of non-IT fixed assets inventory; conducts annual physical checks.
- Sourcing and procurement of non-IT products and services, maintenance of general equipment and services, including assessment, evaluation and screening of new suppliers.
- Maintaining and updating the suppliers' list.
- Responsible for input and confirmation of invoices to AP System and allocation of costs.
- Updates and administers the Key Register for entire office.
- Upkeep of meeting rooms and manage meeting room booking system.
- Responsible for entire mail room services (collection and distribution of incoming mail, newspapers, publications, and franking & posting of mails)
- Other duties, as and when, assigned by Head of Facility Management
Job Requirements:
- Minimum Diploma
- Minimum 2-3 years of office administrator or facility administrator or related working experience
- Able to work on weekends when required (on ad hoc basis due to office maintenance requirements)
