HR and Admin Specialist, Singapore

As Vero’s HR and Admin Specialist in Singapore, you will play a pivotal role in ensuring the smooth and efficient functioning of our office operations. Collaborating closely with various departments and administrative teams and reporting into Vero’s Managing Director in Singapore, your responsibilities encompass a broad spectrum of administrative, HR, and operational support.

Responsibilities:


HR Support and Employee Services:

  • Collaborate closely with agency leadership to foster a dynamic performance culture within the organization.
  • Manage daily HR operations, ensuring compliance with HR policies and procedures. This includes coordinating 360 reviews twice a year, building and implementing efficient onboarding and offboarding programs, and employee data.
  • Assist with talent acquisition, including scheduling interviews, coordinating with candidates etc.
  • Design and lead strategic HR programs, and promoting a performance culture, rooted in trust, kindness and curiosity.
  • Provide support to employees by promptly addressing queries and requests, contributing to a positive employee experience.

Contributing to Vero's Culture and Growth:

  • Assist in implementing HR programs fostering a best place to work culture and facilitating positive employee experiences.
  • Support the successful delivery of initiatives that align with Vero's strategic objectives.

Office Coordination and Efficiency:

  • Streamline office activities and operations.
  • Manage official documents for office activities, including applications for grants, submissions of legal documents etc.
  • Maintain a cohesive and organized work environment, promoting a culture of productivity and professionalism.

Data Management and Reporting:

  • Update and maintain records and databases, encompassing personnel, financial, and operational data.
  • Track office supplies inventory and initiate procurement orders as necessary.

Administrative Support:

  • Manage agendas, travel arrangements, and appointments for senior management, ensuring seamless scheduling and coordination.
  • Handle phone calls, and correspondence (emails, letters, packages, etc.), and prioritize tasks effectively.
  • Support budgeting and bookkeeping procedures, aiding in financial management and reporting.

**This is a hybrid role. You will be reporting to Vero Singapore’s Managing Director.

Criteria:


  • 1-2 years of working experience in an agency environment or similar
  • Highly motivated, flexible, reliable, honest, and able to work under pressure
  • Structured, detail-oriented, responsible, and independent
  • Strong emotional intelligence; can establish strong connections with people
  • Strong interpersonal communications skills
  • Understanding of the employment landscape and policies in Singapore
  • High commitment to confidentiality issues

Other Benefits:

Unlimited Leave: Your allocated holiday time at Vero will be unlimited. We trust our people to use good judgment when given guidelines for making decisions about taking a holiday, and we know that our teams work better when they can rest and take a proper break from work. Our goal is that every one takes an average of 15 days (minimum!) per person a year.

Annual Bonus: An “enhanced 13th month” through which you will receive an annual extra sum of money equal to your salary in the preceding month plus a fraction of yearly company benefits. The year-end bonus is determined by the Company and at its sole discretion.

Flexible Office: All our employees can choose where they want to work on any given day, whether from the office, from home, from a coffee shop, or a yacht in the Pacific Ocean.

Working days: Monday to Friday, 9:00 am to 6:00 pm (including 1 hour of lunch break). This may be flexible depending on workload and client needs.

Wellness day off: One paid day per quarter for you to take time off, unplug, and treat yourself with something nice.

Medical and Wellness Budget: We will provide an allowance of SGD 1,000 per person per year for any medical, dental or mental health consultations that you might want or need.
