Responsibilities:
1. General Administrative Support:Assist in maintaining and organizing office files, documents, and records.
Handle incoming calls, emails, and inquiries, providing information or directing them to the appropriate person.
2. Data Entry and Record Keeping:Input data accurately into databases and maintain up-to-date records.
Prepare and update reports as required by management.
3. Scheduling and Coordination:Schedule appointments, meetings, and conference calls.
Coordinate travel arrangements and accommodations for staff members.
4. Customer Service:Greet visitors and assist them with their inquiries or direct them to the relevant personnel.
Provide excellent customer service to clients and colleagues.
5. Weekend and Public Holiday Shifts:Work scheduled shifts during weekends and public holidays to ensure continuous administrative coverage.
Collaborate with team members to address urgent matters and maintain a seamless workflow during non-traditional hours.
6. Document Preparation:Assist in preparing and editing correspondence, reports, and other documents.
Ensure accuracy and consistency in all administrative materials.
7. Office Supplies and Equipment:Monitor and replenish office supplies as needed.
Coordinate with vendors for equipment maintenance and repairs.
Qualifications:
· Proven experience in an administrative or clerical role.
· Proficiency in office software (e.g., Microsoft Office Suite).
· Excellent organizational and multitasking abilities.
· Strong written and verbal communication skills.
