Responsibilities:
• To provide personalized secretarial and administrative support in a well-organized and timely manner.
• To provide administrative duties include answering phone calls and managing correspondence, scheduling appointments, making travel arrangements, taking notes, managing the meeting arrangement and organize meeting minutes.
• To act as the first point of contact for the director as necessary
• Draft correspondence such as emails and letters, preparing reports, presentations, and briefs.
• Maintaining databases and filing systems
• Run errands as requested and any ad-hoc duties as assigned by the Director.
• Responsible for the overall office layout and systems, and the procurement of office equipment, supplies and inventory within the budget guidelines of the company.
• Entering data, maintaining databases, and keeping records for Finance and Human Resource functions.
Requirement:
- Possess at least a Diploma, Advanced/Higher/Graduate Diploma in Business Studies.
- With good knowledge of office management systems and procedures
- Outstanding organizational and time management skills.
- Ability to multitask and prioritize daily workload.
- Strong interpersonal skills.
- A good team player and able to maintain confidentiality
- Tech-savvy and experience with word processing and email programs.
- Active listening and good communication skills.
- Proactive approach to problem-solving.
- Bilingual in written/spoken English and Mandarin is preferred in order to liaise with Mandarin speaking clients and associates.
- With experience in in Merchandising/ Textile / Fashion Design will be added advantage.
