They are are looking for an Office Manager who can support their Singapore office and facilitate the work of our teams in Shanghai and other cities worldwide. The role will also support the company's global CEO and senior management.
In this role you'll will be supporting the team by : General Admin 60%, Global CEO assistant 40%
Job Responsibilities:
■General Admin 60%,
- Liaise with company secretary and compliance advisor to fulfill all the filing and compliance requirements. Scheduling of appointments, coordination of meeting and recording the meeting minutes,
- General support the Singapore office daily operation, and coordinate with HQ different functions on the local execution.
- Handle the office relocation and logistics to ensure a smooth movement and employee's settle down.
- Ensure all Group policies, rules and regulations are always complied with.
- Perform day to day secretarial support to the assigned leader and visiting executives as appropriate.
- Reinforcing operational support best practices to new joiners and existing workforce efficiently.
- Providing necessary guidance to local team on filling Group OA system, following expense policy, and submitting of the travel and expenses reports.
- Visitor/telephone screening and handling of internal /external correspondences.
- Coordinating on IT / system support to local members in compliance with MAS regulations
- Perform ad hoc assignments as required, productively undertaking a substantial workload without sacrificing quality.
Global CEO assistant 40%
- Meeting set up and coordination.
- Travel arrangement and schedule planning.
- Handle Global CEO request and messages after office hours when required
- Other duties as assigned.
Job Requirements:
- Proven experience of at least 3 years as an executive assistant, outstanding communication skills and detail oriented
- Effective time management and planning skills
- Proficiency in Microsoft word, Excel and outlook
- Professional proficiency in English and able to read and write Mandarin to effectively communicate with counterparties at China HQ.
- Able to speak Japanese will be a plus to communicate with the Team in Japan. (NOT essential to have)
