The Role
Reporting to Facilities Manager, specific responsibilities for the efficient and smooth operation of all matters relating to the maintenance, security and management of all DFI premises.
- Responsible for the daily operation of the building facilities / M&E asset management / tagging and control in all offices / warehouses as to provide proper, safe and functional environment for the benefit of all the stakeholders (DFI).
- Designated as Chief Fire Warden / SMC / SIC to promote fire safety program and enforce fire safety regulations. Also act as Liaison Officer for security and safety issues of SSWG Cluster if needed.
- Responsible for user department’s facilities / equipment / assets including PPM (Planned Preventative Maintenance), root cause analysis of the works by City FM and approved vendors
- Manage annual activities for building shutdown, testing and maintenance works with stakeholders and approved vendors.
- Manage documentations (weekly reporting ISO documents, iPOS approvals, certificate and licenses) ready for internal audit
- Managing requests / feedback / complaints and take appropriate corrective remedial / rectification action through regular scheduled dialogue sessions.
- Manage and facilitate the training with DFI with HR and all stakeholders on MyFM app familiarization to new hires and refresher training.
- Manage service fees including monthly advice on changes to the stakeholders.
- Analyse OPEX & CAPEX budget including preparation, monitoring and control of the budget.
- Responsible for procurement of all asset and facilities management related services contracts /goods, including preparation, review and negotiating contract according to DFI procurement guidelines and SOPs.
- Manage building improvement, renovation and retrofitting works for tenanted areas.
- Assist with preparation, obtain data figures from vendors with submission of water efficiency, waste management to relevant authorities.
- Responsible for compliance of regulatory requirements and regulations especially on EHS, green and ESG initiatives lead by facilities manager.
- Any other adhoc duties as and when assigned
About You
- Recognised certification in Facilities & Project Management, Mechanical/Electrical Engineering, or related field.
- Minimum 2 years' experience in retail or logistic environment or similar job scope.
- Possess a valid Fire Safety Manager (FSM) Certificate or equivalent will be an advantage
- Possess interpersonal and problem-solving skills, able to work well in fast-paced environment.
- Attention to Details and sensitive to financial literacy.
- High Energy Level, able to handle pressure and perform multiple tasks
- Independent, proactive and possess can do attitude.
