Reports to: Program Manager, Marina Bay Operations
Position Summary:
The Program Administrator is responsible for ensuring the efficient, effective, and
safe operations of all Singapore Sailing assets and programs in Marina Bay.
Key Responsibilities:
1. Oversee the administration process of all sailing programs:
- Ensure all administrative tasks are completed accurately and timely.
- Maintain and organize program records, documentation, and schedules.
- Coordinate with internal teams to ensure smooth program operations.
2. Collaborate with full-time staff on site to execute sailing programs:
- Assist in setting up and dismantling program equipment and materials.
- Support full-time staff during sailing sessions to ensure smooth execution.
- Provide on-site assistance to address any immediate issues or needs.
3. Track and record attendance of volunteers working each day:
- Maintain a daily log of volunteer attendance.
- Ensure that volunteer hours are accurately recorded for reporting and recognition.
- Address any discrepancies or attendance issues promptly.
4. Work closely with the Program Manager to run various sailing programs, including
DBS, Corporate Sailing Programs, Beneficiary Programs, and School Sailing
Programs:
- Assist in the planning and organization of program schedules and activities.
- Ensure all program resources are available and ready for use.
- Provide feedback and suggestions to the Program Manager for program
improvements.
5. Report any incidents at Marina Bay to the Program Manager promptly:
- Document and report any safety or operational incidents.
- Follow up on incident reports to ensure proper resolution.
- Implement corrective actions as directed by the Program Manager.
6. Maintain positive and productive working relationships with volunteers:
- Foster a supportive and inclusive environment for volunteers.
- Provide guidance and support to volunteers as needed.
- Recognize and appreciate the contributions of volunteers regularly.
7. Liaise closely with vendors and other stakeholders involved in the sailing
programs:
- Communicate effectively with vendors to ensure timely delivery of services and
supplies.
- Coordinate with stakeholders to ensure program requirements are met.
- Address and resolve any issues with vendors or stakeholders promptly.
