The position holder will provide comprehensive administrative support in KK Research Centre (KKRC).
Responsibilities:
- Oversees and performs a range of diverse administrative support to the department.
- Serves as a primary point of direct administrative contact and liaison with other departments, individuals and external parties on a range of specified issues.
- Prepares operational and administrative matters for the department’s new hires, including preparing name cards, access cards and putting up system requests.
- Coordinates the monthly research coordination meeting, including scheduling, booking of venue, preparing the agenda and minute writing.
- Establishes, updates and maintains department files, inventories and records in KKRC.
- Support department functions including Course coordinator, Fire Safety, BCP, etc. as directed by the Manager.
- Perform completeness checks for CIRB applications in iSHaRe in accordance with the CIRB Initial Application Checklist.
- Maintain HOD’s calendar and appointment schedules.
- Maintains and updates the department organization chart(s) and staff listing as reflected in the hospital e-Directory.
- Requisites supplies, printing, maintenance and other services for the department.
- Perform data entry tasks as assigned.
Requirements:
- Diploma or GCE A Level / GCE O Level / ITE Certificate in Office Management or equivalent
- At least 3 years of working experience will be preferrable
- Fluent in written and spoken English and a 2nd language/dialect
- Proficient in computer skills (MS Office, Word and Excel)
- People-management skill, strong team-player
- Meticulous with strong organization and coordination skills
