As a HR administrator, you will be part of the regional team to provide support on a wide range of HR functions covering recruitment & on-boarding, benefits & welfare administration, training, expatriate & workplace administration for our offices in Singapore and Sydney. We offer cross-training opportunities within the team for you to expand your knowledge and skill sets.
Job Responsibilities
- End to end intern recruitment across departments
- Recruitment administration for experienced hires such as scheduling interviews, booking meeting rooms, sending calendar invites to interviewers, setting up zoom calls, following up on interview evaluation forms etc
- On-boarding support & administration including initiating background check, pfile creation, staff record creation in system, organise new joiner orientation, updating intranet, administer internal tests, confirmation etc
- Input, file, maintain, and update employee records
- Work pass administration for new and renewal cases including secondary directorship
- Leave administration including monitoring of block leave and government-paid leave completion, submission of government-paid leave claims, annual leave carry forward exercise etc
- Handle exit processes which includes updating intranet, sending exit clearance email etc.
- Welfare administration for life events such as ordering get well basket/wreath etc
- Draft and prepare HR letters (employment certification, life events, confirmation etc)
- Update and upload/submit organisation chart and headcount reports monthly
- Register employees for training courses, update of individual training records, ensure compliance with Continuing Professional Development requirements
- Managing Card Access/Office Security System
- Process invoices
- Manage HR department inventory such as stationery, wine etc and housekeeping
- Be well versed with HR policies & procedures
- Maintain HR mailbox and re-direct the external email to the relevant HR personnel
- Keep abreast of trends, regulation changes etc in HR
Job Requirements
- Degree / Diploma in Finance / Accountancy / Business Admin / HR or equivalent
- Meticulous with good numerical & accuracy skills
- At least 2 years of HR Admin experience
- Good working knowledge of Singapore Employment law, general HR policies and procedures & HR development / updates
- Excellent people and communication skills
- Proactive and supportive team player with the ability to work independently
- Enthusiastic, creative and resourceful with a "can-do" and positive attitude
- Result and service-oriented with initiative to troubleshoot issues
- Have good work ethics
- Ability to manage and set priorities in a fast-paced environment
- Willingness to take on additional task when necessary
