Key Responsibilities:
- Collaborate and support for office operations, senior management, and office activities
- Maintain and manage confidential documents, including but not limited to coordinating document signing via DocuSign
- Effectively manage complex calendars, ensuring the timely scheduling of strategic meetings and appointments
- Oversee phone and email communications, draft professional correspondence, and manage follow-up tasks with precision
- Provide administrative support to the CFO and their direct reports, ensuring seamless operations
- Supervise, manage and oversee administrative staff on office inventory stock order, office facility management and liaising with external vendors
- Help to support and facilitate company events and conferences, including logistical arrangements and catering.
- Execute other duties as assigned to support office efficiency and effectiveness
Requirements:
- Minimum 4 years of experience in a similar capacity
- Minimum of Bachelor's degree
- Proficiency in both Mandarin and English to liaise effectively with Chinese-speaking colleagues, stakeholders and externals
- Demonstrated ability to work independently with minimal supervision
- Abilities to provide both Executive Assistant and Office Management services, with the capability to support various teams
- Strong organizational, multitasking, communication and interpersonal skills
- Proficient in office software and tools, including Microsoft Office Suite and document management systems
- Commitment to working 5 days a week in the office
