Our client, an established European MNC is looking for an Executive Assistant who strives in a fast-paced and collaborative environment with an exceptional team spirit.

The Executive Assistant is expected to provide high-level administrative support to the assigned Senior Vice-Presidents and Vice-Presidents by effectively and efficiently handling and managing all administrative matters of and for the leadership, allowing them to focus on their main responsibility of driving the business.
Responsibilities
- Manage daily calendars for 2-3 Senior VP and VP for meetings and reviews.
- Ensure seamless travel and administrative arrangements for SVP and VP, guests, and commercial team such as visa applications, booking flights, cars, and hotel or restaurant reservations.
- Coordinate logistics and materials for internal and external meetings, e.g. scheduling conference rooms, meeting materials, travel arrangements, set-up equipment, food & refreshment, etc.
- Responsible for all aspects of administration including (but not limited to) travel itineraries/agendas, expense reports, vendors’ payment tracking, PowerPoint slides presentation
- Minutes taking and handling sensitive information in a confidential manner
- Contribute to team effort by accomplishing related results as needed, or any other ad hoc duties/ projects when assigned
Requirements
- Diploma in Business Administration or equivalent
- Minimum 5 years of similar executive assistance experience in large corporate settings with the tenacity and vision to ‘make things work’ while juggling busy schedules, meetings, and event arrangements.
- IT Savvy, proficient in MS Office - Words, Excel and PowerPoint.
- Possessing excellent interpersonal and communication skills in both written and spoken business-level English and Chinese, enabling effective communication with Mandarin speaking external guests and internal stakeholders.
- Proactive, meticulous, and organized with the ability to handle confidential information with discretion.
- Strong multitasking ability to execute assigned tasks in a fast-paced, dynamic environment.
