Role Description

This is a full-time on-site role as a Facilities Admin Officer in SH Cogent Logistics Pte Ltd. The Facilities Admin Officer will be responsible for providing administrative assistance for facilities matters.

  1. Assist in managing and maintaining up-to-date service contracts, licenses, permits and vendors’ contact list
  2. Managing and updating information and documents in shared drive
  3. Keep track of all contracts, licenses and permit expiry dates
  4. Ensure all service reports and delivery orders are in order and assist in processing invoices from vendors
  5. Follow up with Finance department for payment to vendors
  6. Communicate with vendors on administrative matters
  7. Sourcing of quotations for the relevant purchases, office supplies and pantry supplies
  8. Raise paperwork for issuance of Purchase Orders and ensure goods received are in order
  9. Assist in monitoring and tracking of facility teams’ budget
  10. Conduct toolbox training for operational staff
  11. Follow up with relevant stakeholders and update rectification photos on Safety findings to the Safety team
  12. Provide other administrative support (tabulate meter readings, condition reports, application of Jurong Island Pass, LEAP portal, etc.)
  13. Adhere to all company rules and regulations including safety rules
  14. Any other duties and responsibilities assigned from time to time


Requirements

  1. Diploma or Higher Nitec in Facilities Management/ Building Services or equivalent
  2. 1-2 years of facility management experience preferably in industrial buildings
  3. Good proficiency in Microsoft Words and Excel
  4. Pro-active and possess a positive attitude

  1. 5.5 days' alternate Saturday
  2. 2 ways transport from Jurong East MRT
