The Export Sales Support Executive will be responsible for managing export documentation and coordination, ensuring efficient operational, functional, and administrative duties while maintaining strong customer relationships and handling commercial and contractual matters.
Key Responsibilities:
Operational / Functional / Administrative Duties:
- Monitor and respond to queries (emails/phone calls).
- Capture data related to pricing, analysis, production, quality, collections, shipments, and publication information.
- Draft, update, and refine Standard Operating Procedures (SOPs).
- Maintain close communication regarding logistics between customers and South Africa.
- Update monthly Revenue Commitments (Provisional vs Final Price).
- Update annual commodity sales per region/grade.
- Draft and send price offers based on the South African mandate.
- Participate in pricing discussions and negotiations with the Singapore and South African Sales Teams.
- Report on Carbon Footprint annually.
- Generate Sales Agreements and Sales Approval Reports.
- Maintain the ERP system.
- Ensure accurate and timely completion of all transaction documentation.
- Participate in workflow process improvements to enhance efficiency.
Customer Management:
- Manage sample requests for customers.
- Contribute to internal meetings within the division and other departments locally or abroad (shipping/accounts/sales in SA, Sales teams in the CJK region).
- Manage customer accounts.
- Accompany Sales Managers to the mine/smelter/port periodically.
- Arrange and conduct customer visits in-country.
- Resolve day-to-day queries related to shipping, accounts, mines, and customers.
- Process and capture product complaints received from customers and inform the mine/smelter.
- Coordinate business primarily with China, South Africa, Korea, the United Kingdom, and Japan.
- Schedule meetings and arrange travel itineraries as needed.
- Perform other support tasks as required.
Management of Commercial and Contractual Matters:
- Manage the preparation and release of documentation according to deadlines.
- Ensure timely signing and saving of contracts in a shared folder.
- Analyze and review contract clauses.
- Assist in issuing and returning contracts and amendments/addendums.
- Check contracts received from the company Sales agent for onward sending to regions/customers.
- Actively participate in workflow process improvements to enhance efficiency.
Qualifications and Skills:
- Relevant degree or diploma in Business Administration, Sales, or a related field.
- Experience in export documentation and coordination.
- Proficiency in ERP systems and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Knowledge of international trade regulations and practices is a plus.
