Responsibilities
- Attend and answer phone calls; maintenance of telephone system, monitor IDD expenses and source of service vendor to ensure competitiveness of cost;
- Maintaining and updating the worldwide shoplist, telephone and fax numbers in frequent usage by staff;
- Provide secretarial and administrative support to the office and administrative support to General Manger, e.g. release PO, manage EVO system etc;
- In charge of upkeep and maintenance of the office and its supplies. Ensure the office in line with group standard.
- Provide administrative service to the company, select service vendors, monitor the cost and performance of the vendors, Manage service/maintenance contract (e.g. pest control, aircon, etc.)
- Manage office stationery and equipment servicing (e.g. photo copier, etc).
- Responsible for travel management. Update and share booking resources, guidelines, updated policies & regulations, process & procedures. Arrange training for employees when needed.
- Organise travel for assigned departments, ensure compliance of travel policy. Monitor and evaluate the performance of appointed travel agent and ensure the travel cost is competitive with the markets;
- Support other ad-hoc office admin projects/ tasks as per request
