RESPONSIBILITIES
This role provides executive support to the President, including, but not limited to:
- Performing e-approvals on behalf of President for leave requests, travel requests and staff reimbursement claims from President's direct reports.
- Assisting the President in reviewing POs and bank transfers as requested by Office of Finance.
- Assisting with requests for President's e-signature on contracts, agreements, letters, and other documents.
- Processing President's expenses, credit card statement, medical and FlexBen claims.
- Arranging President's travel needs:
- Pre-trip requests
- Ticketing
- Post-trip claims
- Sending all correspondences and messages to the SMU internal community originating from President's Office.
- Providing the President with secretarial support during meetings (internal and external) as well as assisting with agenda preparation and follow-up of outstanding items with key stakeholders post-meeting.
- Assisting the President with desktop research, analysis, interpretation and reporting of corporate and strategic information, when required.
- Supporting the President in the preparation of presentation materials.
- Acting as backup cover, on a needs basis, for the Executive Assistant to President and the Office Manager.
- Other administrative duties as may be assigned from time to time.
- A university degree or equivalent with at least 15 years of relevant work experience in a similar capacity, would be required.
- Experience in working with university-level management officers preferred.
- Ability to write grammatically correct business correspondence and reports independently, with keen attention to details.
- Excellent organizational, verbal and written communication skills.
- Proficient in the use of Microsoft Office suite of applications.
- Ability to multi-task and cope with multiple deadlines or competing priorities; adapt and prioritize changes as necessary.
- Ability to communicate with colleagues across the University and key external contacts in a professional manner.
- Ability to exercise discretion and maintain confidentiality at all times.
- Efficient, meticulous, self-motivated and independent.
