Brief Description
The Application Assistant is responsible for in supporting the planning, development, operation and upgrading of the Secretariat’s System Applications such as the APEC Information Management Portal (AIMP), which is composed of four modules (APEC Collaboration System, Online Meeting System, Project Database, and Meeting Document Database), APEC Project Administration System (APAS), etc. The jobholder works closely with the Digital Strategist and Application manager regarding the Application matters (Process Modernization and AIMP) and is expected to show expertise in understanding the needs of stakeholders, drafting tender document, overseeing vendor in terms of development and operation activities. The jobholder is also involved in the support of the listed applications in terms of Operations and Troubleshooting. This is with close collaboration with the IT Administrator.
Key Result Areas
A. Planning
- Collaborate with the Digital Strategist and Applications Manager to identify the needs of either improvement or upgrade of existing intranet portal and AIMP systems through feedback from stakeholders and operational experience, and do the necessary planning, implementing actions to deliver better product to users.
Measurement: Ensure that the current system provides necessary functions to meet users’ needs, using the technology that is actively used in the market.
B. Operation and Maintenance
- Provide the highest availability of the intranet portal and AIMP system to internal and external users so that the system does not hinder the work of the users while maintaining the strong security level.
Measurement: Minimize unexpected downtime and ensure no security breaches.
C. User support
- Provide training for new and existing users on how to use AIMP systems and support user queries and issues.
Measurement: Ensure that user requests are handled in time.
Key Accountabilities / Duties
A. Planning
- Find out what should be improved or developed through user feedback and operational experience.
- Drafting the document to report the necessity of improvement, upgrade, or development of the system for management approval.
- Prepare the tender document and select the vendor through the procurement process.
- Perform project management, overseeing the vendor to deliver the product.
B. Operation and Maintenance
- Update system software and platform when updates or patches are available by the supplier.
- Check Regularly to confirm applications, system software, OS, and servers working well.
- Ensure that there is no security issue in collaboration with Cybersecurity Specialist.
- Ensure that backup is properly done in cooperation with IT Manager.
- Keep and update system documentation for operation and maintenance.
- Renew operational contract in time.
C. User Support
- Provide user training for new and existing users when necessary.
- Create and delete AIMP user accounts when requested.
- Handle user queries and support request regarding AIMP.
