Guest Relations Assistant & Coordinator

Provide support in managing guest interactions and ensuring a positive luxury experience at festival, in events, etc.


1.⁠ ⁠Pre-Event Preparation: Assist in preparing work for the luxury festival and event by coordinating guest lists, RSVPs, and registrations. This involves managing guest databases, sending out invitations, and confirming attendance via email, WhatsApp and calls.


2.⁠ ⁠Guest Communication: Serve as a point of contact for guests, responding to inquiries, providing information about the festival and all, events, and addressing any concerns or special requests.


3.⁠ ⁠On-Site Support: Assist with on-site logistics, such as setting up registration areas, managing check-ins, distributing name badges or credentials, and directing guests to various event locations.


4.⁠ ⁠VIP Management: Provide special attention to VIP guests, ensuring they receive personalized assistance and have a seamless experience throughout the event. This may involve escorting VIPs, arranging special accommodations, and fulfilling any specific requirements.


5.⁠ ⁠Issue Resolution: Handle any issues or emergencies that arise during the event, including addressing complaints, resolving conflicts, and coordinating with appropriate staff or vendors to ensure timely resolution.


6.⁠ ⁠Information Desk: Staff information desks or hospitality areas to assist guests with inquiries, provide directions, and offer general assistance throughout the event.


7.⁠ ⁠Feedback Collection: Solicit feedback from guests to assess their satisfaction with the event experience. This may involve distributing surveys, conducting interviews, or collecting feedback in person to gather insights for future improvements.


8.⁠ ⁠Post-Event Follow-Up: Assist with post-event activities, such as sending thank-you notes to attendees, compiling event reports, and updating guest databases with relevant information for future communication.


9.⁠ ⁠Collaboration: Work closely with other event staff, including coordinators, planners, and volunteers, to ensure smooth execution of guest relations activities and overall event success.


10.⁠ ⁠Professionalism and Hospitality: Maintain a professional and courteous demeanor at all times, exhibiting strong hospitality skills and ensuring guests feel welcomed, valued, and appreciated throughout their experience.
