Admin Asst & Coordinator

1.⁠ ⁠Administrative Support: Assisting with day-to-day administrative tasks such as answering phones, responding to emails, managing calendars, scheduling appointments, and maintaining filing systems.


2.⁠ ⁠Coordination: Coordinating meetings, conferences, and events by scheduling participants, reserving venues, arranging catering, and preparing meeting materials. Ensuring all logistics are in place for successful events.


3. On-Site Support: Assist with on-site logistics, such as setting up registration areas, managing check-ins, distributing name badges or credentials, and directing guests to various event locations.


4.⁠ ⁠Communication: Serving as a liaison between departments, clients, and external partners by relaying messages, coordinating information, and facilitating communication to ensure smooth collaboration.


5.⁠ ⁠Document Management: Creating, formatting, and editing documents, presentations, and reports. Managing document storage, retrieval, and distribution, ensuring accuracy and confidentiality.


6.⁠ ⁠Data Entry and Database Management: Entering and maintaining data in databases, spreadsheets, or other software systems. Updating records, generating reports, and ensuring data integrity.


7.⁠ ⁠Travel Arrangements: Assisting with travel arrangements for staff, including booking flights, accommodations, transportation, and preparing travel itineraries.


8.⁠ ⁠Financial Administration: Assisting with expense reporting, processing invoices, tracking budgets, and maintaining financial records. Coordinating with accounting or finance departments as needed.


9.⁠ ⁠Office Management: Overseeing office supplies, equipment, and facilities management. Ordering supplies, coordinating repairs, and ensuring a clean and organized workspace.


10.⁠ ⁠Project Assistance: Providing support for ongoing projects by coordinating tasks, tracking progress, and assisting with documentation, communication, and follow-up.


11.⁠ ⁠Calendar Management: Managing calendars for executives or team members, scheduling meetings, coordinating appointments, and ensuring conflicts are resolved efficiently.


12.⁠ ⁠Client Relations: Assisting with client communications, inquiries, and requests. Providing excellent customer service and ensuring client needs are met in a timely and professional manner.


13.⁠ ⁠Team Support: Assisting team members with various tasks as needed, including research, data analysis, and presentation preparation.

  • Ability to work well under pressure and meet deadlines.
