ABOUT THE ROLE
The Office Administrator will support and manage the services of the Singapore office to ensure the facilities are maintained and provide administrative support to the team.
DESCRIPTION OF THE ROLE
Based in Singapore Science Park II, the Office Administrator is expected to:
• Be the first point of contact for incoming office communications, including answering phones, meeting and greeting guests, receiving vendor deliveries, and mail
• Office support responsibilities including catering and facilities management
• Coordinate logistics and distribution for various projects, including liaising with shipping contractors and negotiating rates
• Manage and maintain Health Insurance, workers compensation and Industrial insurance for VALLAURIX/CUV Singapore entities
• Order and maintain the inventory for all office supplies, corporate stationery products, photocopier and kitchen supplies
• Purchase, maintain and track IT and telecommunications infrastructure
• Compose and edit correspondence, internal memos and reports
• Ensure the office is maintained to a neat and professionally acceptable standard
• Provide administrative support: co-ordinate conference calls and meetings
• Maintain electronic filing systems
• Assist with onboarding of new employees: providing company forms, purchasing IT equipment
• Assist finance team with enquiries, creating of purchase orders, data entry of invoices
• Assist with coordinating business travel and accommodation for staff including business visas and visitors when needed.
• Assist with organising events, conference meetings and register staff for conference attendance
• Provide support to the Head of Global Administration when needed
ESSENTIAL REQUIREMENTS FOR ROLE
• At least 3 years’ experience in a similar role
• Proficient in Microsoft Word, Excel and PowerPoint
• Excellent verbal and written communications skills
• Experience using Quickbooks (highly desirable)
• Must have a confident and professional manner
• Positive and collaborative attitude
