Responsibilities:
- Handle the processing of all orders accurately and promptly.
- Coordinate between the sales team, manage and file documents, and communicate relevant information.
- Store and organize financial and non-financial data electronically.
- Inform clients of any unforeseen delays or problems.
- Issue contracts for sales and purchases post-trade completion.
- Maintain clear communication to address discrepancies, missing details, or inappropriate terms.
- Review master letters of credit for compliance before advising customers to open a letter of credit.
- Ensure timely opening of letters of credit before shipment.
- Prepare necessary customs documents for clearance.
- Compile and present documents for sales letters of credit.
- Develop document instructions for brokers, owners, or suppliers.
- Provide timely updates to suppliers and buyers.
- Calculate and submit claims as necessary.
- Monitor payment and settlement processes.
- Organize and maintain proper documentation for each shipment.
- Fulfill any other assigned ad hoc duties.
- Monitor the team’s progress, identify shortcomings, and propose improvements.
- Track annual commodity sales by region and grade.
- Draft and send price offers based on the South African mandate.
- Engage in pricing discussions and negotiations with Sales Teams in Singapore and South Africa.
- Report on the annual Carbon Footprint.
- Generate Sales Agreements and Sales Approval Reports.
- Customer Management:Handle sample requests for customers.
- Contribute to internal meetings across various departments locally and internationally (shipping, accounts, sales).
- Manage customer accounts and maintain strong relationships.
- Accompany Sales Managers on visits to mines, smelters, and ports periodically.
- Arrange and conduct customer visits within the country.
- Resolve day-to-day queries related to shipping, accounts, mines, and customers.
- Process and address product complaints received from customers and liaise with the mine/smelter.
- Coordinate business activities primarily with China, South Africa, Korea, the United Kingdom, and Japan.
Requirements:
- A degree or diploma in Business Administration, Sales, or a related field.
- Experience in export documentation and coordination.
- Proficiency in ERP systems and the Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Keen attention to detail and strong problem-solving skills.
- Ability to work independently and as part of a collaborative team.
- Knowledge of international trade regulations and practices is a plus.
