Job Description
We are looking for a receptionist to be responsible for being the face of the office - greeting clients and visitors and general admin duty. You will be in charge of contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.
The candidate will need the following: flexibility is essential, as well as a willingness to assist with tasks, help solve unforeseen problems, answer queries etc. Good communication is an essential attribute as we will supporting an office of various nationalities.
General Duties:
Reception:
- Meet and greet visitors and notify appropriate staff of their arrival
- Answering / transferring incoming calls, helping with enquiries
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Update calendars and schedule meetings
- Perform other clerical receptionist duties such as filing, photocopying and shredding
- Check and Update Status/Stocks of Office Stationary and Pantry
Admin:
- Post - sort and distribute mail to employees; process daily outgoing mail
- Facilities Management
- Take care of incoming and outgoing courier packages and other deliveries
- Order/manage pantry supplies
- Working together with the office cleaners to keep office and meeting rooms tidy
- Organize stationery orders and maintain stationery stock levels
- Assist with ad hoc tasks as required (i.e. buying lunch, running errands)
Qualifications:
Knowledge And Experience:
- Previous experience as an office receptionist is preferred
Qualification And Skills:
- English language proficiency
- Demonstrated ability to use initiative
- Ability to multi-task
- Competencies in MS Office - especially in MS Words and Excel
- Ability to work well independently as well as being a team player!
