HR & ADMIN MANAGER
QUALIFICATIONS
- Minimum A Levels; Diploma in Human Resource Management preferred.
- Minimum 5 years’ HR and office admin experience.
- Strong command of English, both written and spoken, and able to correspond independently.
- Good knowledge of Singapore labour laws.
- Good computer knowledge (Microsoft Office Suite).
- Mature, professional, discreet, resourceful, proactive, organized, responsible, a team player and people-oriented, and able to work with minimal supervision.
- Good interpersonal skills, and able to interact in a multi-cultural environment with managers and colleagues in Singapore as well as in Malaysia, UK and USA.
KEY RESPONSIBILITIES
- Reporting directly to the General Manager, you will be the go-to person for all employee-related issues, ranging from employee welfare to grievance resolution, and full spectrum HR.
- Manage the recruitment process from start to finish, including collaborating with department managers on job specs, drafting/posting jobs, arranging interviews, verifying credentials and preparing employment contracts.
- Provide support to HR colleague in Malaysia, e.g. overall guidance to ensure compliance with the standards and policies of our Singapore office.
- Manage and perform routine HR tasks such as maintaining personnel files and annual/medical leave records, annual performance and salary reviews, MOM employee data reporting and surveys.
- Manage medical benefits, including liaising with the insurer for annual medical insurance policy renewals, processing medical insurance claims, overseeing employee medical and dental benefit reimbursement claims etc.
- Apply for Employment Passes, S Passes and other related passes as and when required, and ensure that we plan ahead to keep within our Pass quota.
- Work with department managers to ensure adherence to MOM employment and workplace regulations, including Employment Act compliance, maintaining work injury compensation insurance, work injury reporting/claims.
- Manage training processes, e.g. registering employees for training when required, applying for appropriate training funding/subsidies, maintaining records for ISO training and JD/competency requirements, ensuring training certificates remain valid (e.g. for our offshore Field Engineers and company-appointed first aiders).
- Analyse employment trends and best practices (e.g. salary scales, employee benefits, labour supply) and recommend changes where appropriate to develop, motivate and retain our employee pool.
- Manage and administer employee travel, including flight bookings and visa applications, including for our Field Engineers.
- Office admin responsibilities such as overseeing the office cleaning company, company phone plan renewals, office equipment and appliances etc.
