Ensures that the administration of the business runs smoothly on a daily basis. Main duties include preparing documents, updating records, answering telephones and other inquiries, and maintaining office documents.
- Maintaining and updating files and records
- Handling basic bookkeeping tasks like invoicing and issuing checks, including scanning of invoices and other documents
- Good Knowledge of bookkeeping
- Answering calls, taking messages, and redirecting calls
- Sorting and distributing incoming mail and preparing outgoing mail
- Arrange maintenance of office equipment like facsimile machines, printers, photocopiers, and computers
Responsibilities
- Assist in preparation of sales agreements, invoices, billings, and documentation for sales and financing transactions
- Support sales and accounting departments to ensure successful sales and financing transactions
- Update administrative data in systems and maintain records of such data, including general record keeping and filing duties
- Manage bank book through recording financial inflows and outflows for bank reconciliation and daily reporting and forecasting for payments and deductions
- Provide internal stakeholders with necessary administrative support and undertake any ad-hoc duties as assigned
