Detailed Job Description
The position of Administration and Office Manager includes the following responsibilities:
Admin Manager:
. Assist on Company KYC processes
· Vendor invoice control and processing
· Support on legal procedures (AGM, notary process, Corppass, etc.)
· Employees expenses
· Support in corporate travel
· Preparing letters and documentation for banks and admin matters
· Assisting the organisation's HR and finance functions by keeping personnel records up to date and arranging interviews.
· Assist on employees onboarding of new employees (company material and IT)
· Employees offboarding (gathering of company material, IT disconnection, documentation, etc.)
· Assist with company international expansion with administrative matters, including potentially setting up a new legal entity in China or other geographies
Office Manager
· Coordinating supplies including IT equipment, phone companies, software, stationary, storage and other vendors.
· Manage relationships with landlords.
· Maintain a safe, secure, and pleasant work environment.
· Participate actively in the planning and execution of company events.
· Organising meetings
· Handle and distribute business's courier
· Ordering stationery and IT equipment
· Dealing with office correspondence and issues that may arise
· Partner with HR to update and maintain office policies as necessary
· Ensuring that health and safety policies are up to date
Employee background
· Proven experience as an Office Manager or Administrative Assistant
· Knowledge of Office Administrator responsibilities, systems and procedures
· Proficiency in MS Office
· Hands on experience with office machines (e.g. fax machines and printers)
· Excellent time management skills and ability to multi-task and prioritize work
· Attention to detail and problem solving skills
· Good negotiator with vendors (landlord, phone lines, maintenance, etc.)
· Strong organizational and planning skills in a fast-paced environment
· High School degree or secondary diploma; additional qualification as an Administrative assistant or Secretary will be a plus
· Proficiency in English is a must, Mandarin fluency will be advantageous
Conditions and benefits
· Fixed Gross Annual Salary 50-54k SGD in 12 equal monthly instalments over the year subject to the provisions of Singapore and any mandatory contributions or deductions required to be made by the Company
· Annual leave of 18 working days per calendar year
· The Employee will be included in the Employer’s health insurance program
· The Employee will be included in the Working from Home (WFH) Policy of the Company
