Part-Time Property Manager

Position: Part-Time Property Manager (Off-Site, Flexi-Hours)
Location: Singapore
Salary: $2,500 - $3,000 per month


About the Role:

We are seeking a diligent, responsible, and detail-oriented Property Manager to join our team on a part-time basis in Singapore. Our team manages a small portfolio of about a dozen residential and commercial units (majority of which are located in a single building). The candidate will need to make regular visits to the various property locations when required, for example for handovers and inspections, but can otherwise work flexibly from home. An office line will be issued for managing communications with tenants and vendors.


The ideal candidate will excel at managing practical day-to-day matters, such as liaising with tenants on tenancy matters and overseeing unit repairs, handovers and building maintenance. This role requires the candidate to be good at keeping paperwork up-to-date and organised in both physical files as well as on an online file storage platform.


Key Responsibilities:


Tenant Management

  • Support the preparation of tenancy agreement and related documents, including applying for stamp duty and tenant communications when necessary.
  • Manage tenant move-in and move-out processes, including ensuring proper documentation of handovers.
  • Coordinate with tenants on a regarding any necessary repairs or maintenance.
  • Conduct regular property inspections and handle tenant queries.

Building Operations

  • Prepare monthly reports of activities for the Landlord and provide ad-hoc updates on any outstanding matters as needed.
  • Coordinate access for meter readings and inspections.
  • Ensure common areas are well-maintained and free of clutter.
  • Be familiar with building safety protocols and emergency procedures.

Maintenance and Repairs

  • Schedule and oversee building maintenance and repairs.
  • Source and negotiate with vendors as needed for these works.
  • Maintain records of all repairs and services performed.

Financial Oversight

  • Monitor rental payments and follow up on late payments.
  • Ensure all expenses are approved and documented.

Administrative Duties

  • Keep meticulous records and manage documentation.
  • Be able to use Word and Excel for reporting and record-keeping.
  • File and organize documents digitally using Dropbox.

Requirements:

  • Proven experience in property management or a role with similar skillset.
  • Strong negotiation skills to get the best value from vendors.
  • High attention to detail and strong organizational skills.
  • Proficiency in Microsoft Word and Excel.
  • Ability to file and manage documents digitally using Dropbox.
  • Strong communication skills and the ability to manage tenant relationships.

  • Track payments and handle late rental payment follow-ups.
  • Document financial transactions and generate reports on maintenance/repair works.
  • Keep detailed records of all activities and correspondence.
  • Use digital tools to organize and manage files.
