Job Responsibilities:
- Collaborate with event planners and clients to understand event objectives, requirements, and expectations
- Assist in the development and execution of event plans, including timelines, budgets, and resource allocation
- Coordinate logistical arrangements, such as venue selection, permits, transportation, accommodations, and catering
- Ensure all necessary equipment, materials, and supplies are available and properly set up for each event
- Oversee on-site event operations, including managing event setup, registration, attendee flow, and overall event logistics
- Address any issues or challenges that may arise during events and implement effective solutions in a timely manner.
- Identify and select vendors, suppliers, and contractors necessary for event execution
- Negotiate contracts, rates, and terms with vendors to ensure cost-effective services and timely delivery
- Maintain strong relationships with vendors and conduct regular evaluations to ensure quality and reliability
- Coordinate and supervise vendor activities on-site to ensure adherence to event requirements and client expectations
- Collaborate with cross-functional teams, including event planners, marketing, design, and technical staff, to ensure seamless event coordination
- Delegate tasks and responsibilities to team members and provide guidance and support as needed
- Conduct regular team meetings to communicate event updates, discuss challenges, and ensure alignment
- Identify potential risks and develop contingency plans to mitigate any disruptions during events
- Ensure compliance with health and safety regulations and emergency response procedures
- Coordinate with relevant authorities and obtain necessary permits and licenses for events
- Assist in the creation and management of event budgets, including tracking expenses, negotiating cost-effective solutions, and maintaining financial records
- Monitor and control event-related expenses to ensure adherence to budgetary guidelines
Job Requirements:
- Bachelor's degree in Event Management, Hospitality, or a related field is preferred
- Proven 1 year of working experience in event operations, preferably in an event management company or similar industry
- Strong organizational and multitasking skills to manage multiple events simultaneously
- Excellent attention to detail and ability to work under pressure in a fast-paced environment
- Strong problem-solving and decision-making abilities to address issues during events
- Effective communication and interpersonal skills to collaborate with clients, vendors, and internal teams
- Proficiency in event management software and tools to streamline operations
- Flexibility to work irregular hours, including evenings and weekends, as required by event schedules
- Knowledge of health and safety regulations and risk management practices
