Real Estate Admin Assistant

Administrative Support

  1. Handling Phone Calls and Emails: Answering and directing calls, responding to emails, and managing other forms of communication.
  2. Scheduling: Coordinating appointments, meetings, and property showings for agents.
  3. Document Management: Preparing, organizing, and maintaining real estate documents, such as contracts, listings, and sales records.
  4. Data Entry: Updating and managing the database of properties, clients, and transactions.

Marketing Support

  1. Listing Management: Creating and managing property listings on various real estate platforms.
  2. Marketing Materials: Preparing flyers, brochures, newsletters, and other promotional materials.
  3. Social Media: Managing social media accounts and creating content to promote properties and the real estate agency.
  4. Website Maintenance: Updating and maintaining the company website with current listings and relevant information.

Client Relations

  1. Client Communication: Serving as a point of contact for clients, providing information and assistance as needed.
  2. Follow-ups: Conducting follow-up calls or emails to clients and communicate visitor feedback and interest levels to the sales team promptly
  3. Client Records: Maintaining detailed records of client interactions and transactions.
  4. Welcome and greet visitors- welcome visitors to the show unit and introduce yourself as the point of contact and provide initial information about the property, features and amenities.

Ensure Compliance:

  • Adhere to company policies and procedures regarding property showings and visitor interactions.
  • Maintain confidentiality and professionalism at all times.

Skills and Qualifications:

  • Customer Service: Excellent interpersonal skills with a customer-oriented approach.
  • Communication: Clear and effective verbal and written communication skills.
  • Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Knowledge of Real Estate: Basic understanding of real estate terminology, processes, and regulations is preferred.
  • Attention to Detail: Ensure accuracy in information provided and documentation maintained.
  • Flexibility: Willingness to work flexible hours and weekends based on property showing schedules.

Working Conditions:

  • Typically office-based with frequent on-site presence at show units.
