Job Description

This role is responsible for ensuring the full implementation of the Conflict of Interest (COI) disclosure process, adhering to approved payment rates, and ensuring compliance with Ministry of Manpower (MOM) work pass requirements. Additionally, it involves verifying the absence of adverse records for all mentors and instructors before issuing contracts. This role also manages the monthly and annual processes related to Global Mobility, including payment processing and tax submissions.

  • Work closely with the programme teams on their engagement of instructors, mentors and assessors
  • Preparation of hiring contracts for external engagement to ensure compliance with NUS policies and guidelines.
  • Review the contract for compliance with Ministry of Manpower’s hiring requirements and guidelines.
  • Verify the absence of adverse records for all mentors and instructors.
  • Work closely with the Office of Human Resource and Central Procurement Office for all contract issuance.
  • Coordinate with Office of Finance for all payment submissions.
  • Handle enquiries from the respective programme teams for all contracts and payment matters.
  • Monitor and update SAP payment progress in the system.
  • Maintain proper documentation and record in the database.
  • Create process documentation including standard operating procedures and workflow diagrams.
  • Manages the monthly and annual processes related to Global Mobility, including payment processing and tax submissions.
  • Any other duties as assigned.

Qualifications

  • Degree holder with at least 5 years of experience in administrative support role
  • Mature disposition to manage internal and external stakeholders confidently
  • Process-oriented, able to map out operational processes based on business context
  • Good English communication skills, both written and verbal
  • Meticulous and attention to details
  • Organised and able to multi-task
  • Good interpersonal skills and able to work independently as well as in a team
  • Good working knowledge of MS Office applications, PowerBI, RPA and savvy with web applications and software etc.
