Contract and Admin Manager

Responsibilities

  • Report to the Senior Facilities Manager.
  • Oversee the entire contract lifecycle, from negotiation to execution and closeout.
  • Draft, review, and negotiate contracts, ensuring they align with legal and company requirements.
  • Monitor contract performance, ensuring all parties meet their obligations and addressing any breaches or issues that arise.
  • Maintain a comprehensive repository of contracts, amendments, and related documentation.
  • Attend to complaints, requests, queries, feedback, and other correspondences relating to the Contract including all term contracts under his management, administration, and supervision.
  • Prepare, monitor, and maintain site records and submit monthly works progress reports, cashflow projections, trends reports, KPIs reports, and other reports or information relevant to the maintenance works and services to the Authority.
  • Compile, generate, and submit monthly management reports to Senior Facilities Manager
  • Compile, generate, and submit monthly KPI reports to Senior Facilities Manager
  • Generate monthly contract omission reports to the Senior Facilities Manager
  • Generate and submit the report to the Senior Facilities Manager from TP for manpower absenteeism and leave requests.
  • Provide and manage procurement and financial/ billing workflow modules in the Computerised Maintenance Management System.
  • Prepare and deliver reports to senior management regarding contract status, vendor performance, and administrative activities.
  • Formulate policies and Standard operating procedures (SOPs) for operation, system, project, and other facilities-related matters.
  • Manage, administer, supervise, and coordinate with the term contractors and their respective works and services including certifying work done and payments.
  • Advise the Senior Facilities Manager on matters pertaining to contractual dispute resolution, interpretation of contractual terms and specifications, contractual rights and obligations, financial claims and cost recovery as well as contractual rights of recourse and remedies.
  • Assist various teams with administrative tasks, including organizing meetings, taking minutes, and distributing materials.
  • Any other duties that may be assigned by the SFM.

Requirements

  • Any degree or diploma with related experience in quantity surveying with a minimum 5 years of experience.
  • Pleasant personality with strong drive to succeed.
  • Excellent communication skills, verbal and written with ability to communicate externally and internally at all levels.
  • Meticulous and able to meet tight deadlines.
  • Able to multi-task and manage work priorities in a pro-active and flexible manner.
