We are looking for aspiring individuals that fits the below description. As a Admin Executive, you will play a crucial role in managing the administration functions for our Company, ensuring a smooth operation.
Key Responsibilities
- Assist in recruitment process, that include coordinating interview arrangements with shortlisted candidates and interviewers. Update calendar invites.
- Provide administration support for new staff onboarding / training and resigned staff offboarding process.
- Manage company asset which include uniform, staff pass, stationary, company mobile lines.
- Arrange and coordinate with HQ IT department, to resolve any IT hardware or software issues.
- Prepare and update monthly insurance name list to administer staff for insurance policies.
- Manage and update foreign workers’ personal information via MOM OFWAS.
- Update company's organization chart and office contact list.
- Responsible for sourcing pantry items, beverages, snacks for office and warehouse and maintain pantry cleanliness.
- Assist in organizing any in house or external company’s events.
- Arrange for hampers ordering with vendors upon request.
- Liaise with technician, vendor or contractor for repair and maintenance of any office equipment, facility and building maintenance which also includes air con servicing, copier machines, water dispenser.
- Manage cleaner’s schedule for the cleanliness of office.
- Participate in procuring of office assets, and making comparison based on the competitive prices.
- Provide support to warehouse when required or during peak seasons.
- Facilitate on internal claims submission to accounts department.
- Monitor company vehicles’ road tax due date and insurances.
- Any other assignments as assigned by the immediate superior.
Skills & Qualifications
- Minimum a Diploma in any field.
- With previous administrative role is preferred.
- Proficient in using MS office applications (Word, Excel, PPT, Outlook).
- Candidate should possess good organizing skills, willing to learn, able to meet tight timelines, and prioritize works in a fast pace environment.
- Good communication and interpersonal skills.
- This role will be required to communicate with Mandarin speaking associates / vendors.
